Who runs this and what does this cover?CCMS at MSEUF runs CCMS Consultation. This explains what happens to your information in it.
CCMS Faculty and Student Counselling (CCMS Consultation for short) is run by the College of Computing and Multimedia Studies (CCMS) of Manuel S. Enverga University Foundation (MSEUF). It lets CCMS students schedule consultations with faculty and check in on their moods, and lets CCMS faculty support them. This policy covers CCMS Consultation only. Other university systems, such as myOSAS Connect, have their own policies.
What information do you have about me?Your student record from the Registrar, plus what you and your faculty add: your profile, family, moods and consultations.
From the university
When you first sign in, your student record is copied from the university's Student Information System: your name, student number, birthdate and birthplace, sex, civil status, nationality, religion, email and mobile number, home address, program, major, year level, department, school year and semester. The first names, relationships and occupations of the family members on your record are copied too.
Each time you sign in, your name, sex, birth details, civil status, address and program details are refreshed from the Registrar, so they stay correct. Your email, mobile number and anything you changed yourself are left as they are.
Your ID photo comes from the university's campus ID records. It isn't saved in CCMS Consultation. The server holds a copy for a few hours so it loads quickly.
What you add
- About you: details you fill in or change, such as your nickname, email and mobile number, gender identity, nationality, ethnicity, religion and languages at home.
- Family and home: who you live with, whether you have children or are a single parent, your family members (name, relationship, birthdate, education, work and contact details), and your family background, such as your place among your siblings and who is in school or college.
- Moods: the mood you pick, whether it's for the moment or the day, how strong it feels, the reasons you tag, any note you write and when you logged it.
- Consultation requests: the day and time, how you'd like to meet (face-to-face or the app you choose), the faculty you pick or that you left it to CCMS, and any note you add.
What your faculty add
Your faculty confirms, reschedules, cancels or completes your consultations. After a session they may write a suggestion for you, which you see on your consultation page, and private remarks for their own records, which you don't see.
What we don't collect
Your password isn't saved. When you sign in it's checked against your university account and then discarded. CCMS Consultation has no health records and doesn't track you with analytics or ads.
What do you use it for?To schedule and prepare your sessions, show you how you've been, and send you updates.
- To schedule, confirm, change and cancel your consultations, and to match you with a faculty when you let CCMS decide.
- To help you and your faculty prepare: your recent moods are summarized on your session page.
- To show you your own mood history and trends.
- To help faculty notice when someone may need support. Their dashboard shows overall mood patterns and points out students they've met who logged several very heavy moods in a week, so they can check in.
- To send you and your faculty updates about your requests.
- To keep CCMS Consultation secure and working.
Who can see my information? You and CCMS faculty. Never other students.
The table below shows who can see what. Other students can't see anything about you. We don't sell or give your information to anyone. It's used only for your consultations, unless the law requires us to release it.
Your consultation information and moods are sensitive personal information. Faculty keep what you share confidential. Your faculty can explain the rare cases where they may have to act, such as when someone's safety is at risk.

What do the emails, texts and notifications include?Updates about your sessions: your first name, the day and time, how you'll meet, your faculty and the status. You choose which ones you get.
We tell you when you send a request, when it's confirmed or cancelled (with the reason), and when your faculty leaves a suggestion after a session. Each one has your first name, the day and time, how you'll meet, your faculty, the status and a link to the session. You choose email, text or push notifications, or none, in Account > Notifications.
Emails come from the university's email service under the name CCMS Faculty and Student Counselling. Texts come from the university's registered sender name, Enverga U, and start with "CCMS Consultation:". Push notifications go only to devices you allowed.
Your faculty is told when you send a request, change it before it's confirmed, or cancel it, with your name and program. If you let CCMS decide your faculty, every faculty who is free at that time is told your name, program and the requested time, so one of them can take it. Your note is included only in the email to you and to your own faculty, never in texts, push notifications, or the message to other faculty.
How long do you keep it?As long as CCMS needs it to support you and as university records rules require.
We keep your information for as long as CCMS needs it to provide consultations, and as required by MSEUF's records policies. You can delete your own moods and family members at any time, and cancel requests that aren't confirmed yet. To have the rest of your information removed, contact us below.
The server's activity logs, which can include a username used in a failed sign-in or the email address a message was sent to, are deleted after 60 days.
How is it kept safe?University sign-in, access by role and a secure connection.
- You sign in with your university account. Repeated failed sign-ins are slowed down, and you're signed out about 30 minutes after you stop using the app.
- Every request is checked, so students only reach their own information and only CCMS faculty can open student records.
- CCMS Consultation talks to its server over an encrypted connection.
What are my rights? You can see, correct, get a copy of or ask us to delete your information.

Will this policy change? If it does, we'll update this page and the date at the top.
When CCMS Consultation changes how it handles your information, we update this page and its "Last updated" date.
